Administration Guide for Cisco Unified MeetingPlace for Microsoft Outlook: About Using Delegates
The information in this section should be included in the “Using Cisco Unified MeetingPlace for
Microsoft Outlook” chapter of the Administration Guide for Cisco Unified MeetingPlace for Microsoft
Outlook
. This information applies only if you use delegates to set up meetings.
About Using Delegates
Delegates can set up meetings on behalf of other users by using Cisco Unified MeetingPlace for
Microsoft Outlook. Note the following considerations:
You must install the most recent version of Cisco Unified MeetingPlace for Microsoft Outlook to
use delegates.
If delegates will use Cisco Unified MeetingPlace for Microsoft Outlook to schedule Cisco Unified
MeetingPlace meetings on behalf of other users, then both the delegates and the users on whose
behalf the delegates schedule meetings must have the Cisco Unified MeetingPlace for Microsoft
Outlook client software installed.
The user who requests the meeting must have all personal information entered in Outlook on the
Tools > Options > MeetingPlace tab. Otherwise, the settings for the delegate will appear when the
user opens the meeting.
If the delegate changes his or her password after scheduling a meeting on behalf of a user, the
following limitations apply:
The user cannot reschedule the meeting without entering the new delegate password. If the user
does not enter the new password, the user can still attend the meeting.
The user cannot delete the meeting without entering the new delegate password.
The user cannot reschedule the meeting in the calendar by dragging and dropping the meeting.
If the password for the delegate has expired but has not yet been changed after scheduling a meeting
on behalf of a user, the following limitations apply:
The user cannot reschedule the meeting in the calendar by dragging and dropping the meeting.
The user will be prompted to enter a new password when attempting to open the first meeting.
The new password that the user enters will not be retained. The delegate must open a meeting
and change the password to prevent this issue.
The user cannot reschedule the meeting. The user can still attend the meeting.
The user cannot delete the meeting.
Reservationless meetings will use the reservationless ID for the delegate. Only the delegate can
bring the meeting to order.
Meetings that the delegate sets up will appear in the calendar in the language that the delegate is
configured to use.
