Hot Desk  
Application  
A sales office with a large, mobile sales team is looking for a way to reduce operational costs 
associated with providing desk space to the sales team for the limited amount of time they spend 
in the office. The solution? Provide the ability to have multiple users share a common telephone 
during the time they are in the office. Instead of incurring the expense associated with multiple 
cubicles and telephony products that would remain unused for most of the time, the end user 
can provide a single phone in a single cubicle that is shared by multiple sales persons. This 
sharing of phones and desk space can result in substantial savings to the end user, thus freeing 
capital that would otherwise be tied up. 
 
In the Hot Desk application, each user has their own station ID but does not have a dedicated 
phone. IP phones can be assigned as ‘Cold Stations’, allowing users (agents) to log in as needed. 
The cold station will become active and will take on the attributes defined for the agent's station 
number. When the user logs off, the Hot Desk phone becomes inactive and the user’s calls are 
forwarded to the user entered destination, such as a primary location and/or voice mailbox. A 
different agent may then login through the inactive cold station. 
 
The Hot Desk phone can be programmed to automatically log-out an active user if no activity has 
taken place on the Hot Desk phone for a programmable time period. 
 
Other applications that would benefit from this Hot Desk feature include call centers, real estate 
offices, or any location where employees are in the office for a limited amount of time. 
 
Benefit 
Reduced capital costs associated with supporting large numbers of employees who spend only

Note: When a station is designated as a Hot Desk and is ‘cold,’ with no user logged in, dialing 
form the station is not possible until a valid login is entered. Ensure that any Hot Desk stations 
are clearly marked in case of the need for emergency dialing.
