At the scheduled end time of a meeting, if callers remain in the meeting, 
MeetingPlace compares the number of ports necessary to extend the meeting 
with the other scheduled meetings on the system. If ports are available, the 
system automatically extends the meeting by the amount of time specified by 
the system configuration. The system announces to participants in the 
meeting that their meeting has been extended by [n] minutes. 
Increasing the Number of Ports for a Meeting in Progress 
If a meeting scheduler calls from within a meeting asking you to increase the 
number of ports for the meeting, tell the caller that, after a meeting has 
started, the number of participants scheduled for the meeting cannot be 
altered. However, the dynamic nature of port allocation on MeetingPlace 
allows additional callers to join a meeting in progress, if there are available 
ports on the system. 
Helping Users with MeetingPlace Features 
Users may call asking how to use popular in-session MeetingPlace features. 
The following suggestions help you respond to these calls. 
Using Meeting Messages 
Meeting organizers may want to communicate with meeting attendees prior 
to the start of a meeting. They do this by accessing the MeetingNotes option 
in MeetingPlace and selecting the option to record meeting messages. 
Messages played to all participants currently in the meeting and to all new 
participants as they enter the meeting. 
For example, meeting organizers can leave messages such as: 
“The meeting time has been changed to …” 
“Please prepare the following before the meeting begins…” 
“When you are not speaking during our call, please press #5 to mute 
your phone and ensure optimum audio quality for everyone else. Before 
you speak, press #5 to unmute…” 
Users can also record meeting messages after a meeting has started by 
pressing (# 64) from within a meeting. 
Listening to a Roll Call of Meeting Participants 
Meeting participants can hear a roll call of the first 120 participants in the 
meeting by pressing #21 from their touchtone phones. (The tones are 
suppressed from the meeting and the roll call is played only to the ear of the 
participant who requested the roll call.)  In addition, callers are given the 
option to listen to a roll call of current participants before joining a meeting.
