Cleaning the Head of the Tape Drive 
Periodically, you need to perform light maintenance on your system by 
cleaning the head of the tape drive. Regularly scheduled maintenance keep 
your tape drive running smoothly and reduce the chance of system failures. 
The head of the tape drive should be cleaned after 25 hours of use. This adds 
up to approximately once a month if you perform backups nightly. To use a 
cleaning cartridge, insert the Travan-NS dry process head cleaning cartridge 
into the drive. The drive automatically loads the cartridge and clean the 
head. When finished, simply rewind the tape and mark the date in the space 
provided. After 30 uses, discard the cleaning cartridge. 
Planning for Outages 
There may be times when you need to shut down and restart your 
MeetingPlace system. For example, there may be a problem in your switch 
room, or you know that you are about to lose power. It is a good idea to plan 
for these outages by reading the following sections. 
 
Note: The system automatically restarts if the number of 
functional Smart Blades falls below 25% of your original 
capacity. If you also have your system configured for IP, it 
restarts if you experience a complete loss of IP functionality. 
Shutting Down MeetingPlace 
Before shutting down the system, it is very important to follow a few simple 
procedures to ensure a smooth shutdown. 
 
WARNING: If MeetingPlace is not shut down properly, it could 
take as long as one hour to restart your system while 
MeetingPlace performs a full consistency check on its database. 
Preparing for a System Shutdown 
In preparing for a system shutdown, it is a good idea to let your users know 
that the system will be unavailable. To notify your users, you might want to 
do the following: 
 
Join any conference in progress, and let participants know about the 
system shutdown. 
 
Send a voice message in advance that tells users what time the system 
will be unavailable and for how long. 
 
Send your users an e-mail message in advance advising them of the 
shutdown.
