Recording a Meeting
Participants may want to record meetings for group members who are unable
to attend the meeting or as an aid in transcribing meeting minutes.
Recordings can be used for training, marketing, or communicating technical
information.
Users can schedule meetings to be recorded prior to the start of a meeting,
using MeetingTime, MeetingPlace Web, or the telephone interface. Even
meetings that were not scheduled to be recorded can have recording turned
on during a meeting by pressing # 61, if space is available on the system.
(Scheduling recordings in advance ensures that space is reserved for the
meeting recording.)  The meeting recording can be toggled off and on
throughout the meeting by using the # 61 command. All participants in a
meeting, as well as new attendees to a meeting, are informed that the
meeting is being recorded.
Joining Breakout Sessions
Meeting participants can break into subgroups to confer outside of the main
meetings. To move to a breakout session, participants press #1, then a
number (1-9) for the breakout session. For example, to go to breakout
session two, the user presses #12. (Participants should convey the breakout
session number to anyone who will join the session.)
Participants can lock the breakout session by pressing #41, then listen to a
roll call (#2) to confirm the participants in the breakout session.
To return to the main meeting, participants press #10.
Securing a Meeting
A meeting organizer who wants to ensure the security of a meeting can
require participants to enter a password before joining a meeting (set the
Password required option on the Schedule tab to Yes). Participants must
enter the password and meeting ID.
During a meeting, any participant can lock the meeting by pressing #41.
Participants can also listen to a roll call (#21) to ensure that the meeting is
still secure. After a meeting is locked, additional participants must request
entry before entering the meeting.
Also, if a person enters who should not be in the meeting, participants can
press #43 (delete the last party) to disconnect that person.
