If the audio problem persists, use the In-Session tab to begin toggling
speaking ability of each participant. The active speaker icon may
provide clues as to which participants are injecting noise into the
conference. As each participant’s speaking ability is toggled off, then on,
you should be able to identify which participant is creating the audio
problem.
After identifying the participant who is injecting noise into the meeting,
you may move that participant to a breakout session, then join him or her
and explain how to mute themselves when not speaking. If the participant
is a primary speaker for the meeting, you can also instruct him or her to
use a hand set instead of a speaker phone or to call back (if the problem is
a noisy network line). The participant can then be moved back into the
main meeting, either with your help, using the In-Session tab or by
pressing #10 on his or her touchtone phone.
User is Unable to Schedule a Meeting
If a user reports they are unable to schedule a meeting, first check his or her
profile to see that the Scheduling Restriction parameter in their user profile
is not set to Cannot Schedule.
You can also check the settings that control the port limits as well as the
number and length of meetings that a user can schedule. For example, a
solution may be to reduce the number of guard- time minutes before the start
of meetings, or after the end of meetings. Check the Scheduling Parameters
(Configure tab,
Company Specific Information settings), and Ports (Configure tab, System
Configuration settings). See Chapter 4 for information on managing these
resources.
If the problem is caused by a shortage of ports—and this is a frequent
occurrence—adding more ports to your system helps solve this problem.
Contact your MeetingPlace sales representative to purchase more ports.
When the Reservationless Meetings feature is turned on, profile numbers
cannot match existing meeting IDs. Check that the user is not attempting to
schedule a meeting with an ID that matches any other users’ profile number.
Responding to Requests for More Time or Ports
Extending a Meeting in Progress
If a meeting participant asks to extend a meeting beyond its originally
scheduled time, you can inform the participant that after a meeting has
started, it may not be rescheduled but the system automatically extends
meetings if ports are available on the system.
