As a rule, we recommend setting up profiles for your entire user community. 
Providing Profiles for Targeted Meeting Schedulers 
To get started, you can choose to minimize the number of profiles that you 
maintain on your system. At the most basic level, you need only establish 
profiles for people who schedule conferences and create reservationless 
meetings. These people might be departmental administrators, company 
operators, or specific “power users” within your organization. 
Using this strategy, anyone can attend the conference as a guest user if the 
meeting scheduler allows guest participation. The intent of providing guest 
access to meetings is to enable vendors, customers, and other partners to 
participate in conferences. However, you can choose to have your users who 
do not need to schedule their own conferences attend all meetings as guests. 
While this approach requires the least up-front planning, users without 
profiles are unable to use all MeetingPlace features. 
Providing Profiles On Request 
You can choose to provide profiles for only users who request them. This 
strategy may be similar to the process you already have in place for 
requesting other types of information systems or telecommunications 
resources. 
If you plan to provide profiles on request, you should define the process for 
creating these profiles on a regular basis. You may decide to assign help desk 
staff with the task of creating new profiles to allow you, the system manager, 
with time for other responsibilities. 
Importing Profiles for All Users 
MeetingPlace provides automated tools for synchronizing its internal list of 
profile users with other user lists in your company, such as e-mail 
directories, voice mail directories, or human resources databases. While 
creating a process for importing the initial database and keeping it up to date 
requires up-front planning, this approach enables you to save time on an 
ongoing basis. Rather than worrying about accepting ad hoc requests, you 
can manage the process on a proactive basis. 
Alternatively, MeetingPlace Directory Services automatically synchronizes 
information in your corporate directory server with information in your 
MeetingPlace server. For more information on this software option, see page 
45. 
 
WARNING: To ensure that the import process does not fail 
because of missing information, be sure to define your user 
groups before importing profiles.
