In general, you should deactivate users immediately as a first step. When you 
run reports, you can still properly retrieve information about meetings 
scheduled by these deactivated users. After the other MeetingPlace objects 
(meetings) no longer reference that particular user, you can remove the user 
from the database. 
MeetingPlace Directory Services 
If you have MeetingPlace Directory Services installed, maintenance of your 
user database occurs automatically. By utilizing the corporate directory as 
the source of profile information, MeetingPlace Directory Services greatly 
simplifies profile management and guarantees a more accurate record of the 
profiles stored in the MeetingPlace server. 
It also adds a new level of security by automatically deleting profiles when 
the user is removed from the corporate directory. Properly managing profiles 
means former employees cannot continue accessing the MeetingPlace 
system.

Maintaining the Database Manually 
If you do not have MeetingPlace Directory Services installed, you must 
maintain your system manually. The remainder of this section discusses how 
to manually maintain your user database. 
Deactivating User Profiles and Groups 
You can deactivate a single user profile or group, multiple profiles 
simultaneously, or multiple groups simultaneously. 
To deactivate a single user profile or group: 
1.
 
Open the Register Book, and select the Configure tab.

View the record for the user profile or group you want to deactivate. 
3.
 
For profiles, select No from the User active? field. 
For groups, select No from the Group active? field. 
4.
 
Click Save Changes. 
This action deactivates all user profiles for all users in the group whose User 
Active? fields are set to Group Dflt.
